2. Personal Data We Collect

We only collect the personal data we genuinely need to respond to your enquiry and operate the website. Specifically:

2.1 Information You Give Us

When you submit our enquiry form (the “Engage” form, also available at /contact), we collect:

• your name;
• your telephone number;
• your business name; and
• the enquiry details you choose to provide (free-text message).

The form does not ask for an email address. If you choose to include an email address, postal address, or other personal information inside your enquiry message, that information will be processed alongside the rest of your enquiry on the same lawful basis.

If you call us on 01724 870000 or email us at engage@isov8.co.uk, we will also process the contact details you use and the content of your communication.

2.2 Information Collected Automatically

When you use the site, our hosting provider (Netlify) and, where you have given consent, Google Analytics 4 may receive limited technical information — such as IP address, approximate location derived from IP, browser type, device type, referring website, and pages visited. This information is described in our Cookie Policy. Where used, it is anonymised or pseudonymised wherever practicable.

2.3 Special Category Data

We do not ask for, and do not need, special category personal data (such as health, racial or ethnic origin, religious beliefs, or sexual orientation). Please do not include such information in your enquiry message.

3. How and Why We Use Your Personal Data

We only use your personal data for the purposes set out below, and only on a lawful basis recognised under UK GDPR.

We do not use your personal data to send marketing emails, build advertising audiences, profile you, or make automated decisions about you.

4. Who We Share Your Personal Data With

We do not sell your personal data, and we do not share it with anyone for their own marketing purposes. We do share limited personal data with the following categories of recipient, only to the extent necessary:

5. International Transfers

Some of the providers listed in section 4 process personal data outside the United Kingdom — principally in the United States. Where personal data is transferred outside the UK, we rely on appropriate safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or adequacy regulations made by the UK Government (including the UK Extension to the EU–US Data Privacy Framework where the recipient is certified).

6. How Long We Keep Your Personal Data

We keep enquiry data (the information submitted through the Engage form, plus any related correspondence) for up to 12 months from the date of your last contact with us, after which it is deleted from our active systems. Where an enquiry leads to a contract or commercial relationship, the related personal data is retained for the duration of that relationship and afterwards in line with our statutory and tax obligations.

Backup copies held by our processors may persist for a short period beyond active deletion in line with their standard backup cycles, after which they are overwritten. Cookie-related retention is set out in the Cookie Policy.

We may retain personal data for longer where we are required to by law, or where it is necessary to establish, exercise, or defend a legal claim.

7. Your Rights

Under UK GDPR you have the following rights in relation to your personal data:

• Right of access — ask for a copy of the personal data we hold about you.
• Right to rectification — ask us to correct inaccurate or incomplete data.
• Right to erasure — ask us to delete your personal data where one of the grounds in Article 17 applies.
• Right to restrict processing — ask us to pause processing while a query is resolved.
• Right to data portability — receive the data you provided in a structured, commonly used, machine-readable format, where the processing is based on consent or on a contract.
• Right to object — object to processing carried out on the basis of our legitimate interests.
• Right to withdraw consent — where processing is based on consent (including analytics cookies), you can withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
• Rights in relation to automated decision-making — we do not use automated decision-making or profiling that produces legal or similarly significant effects.

To exercise any of these rights, contact us using the details in section 11. We will respond within one calendar month. We may need to verify your identity before acting on a request to make sure we do not disclose data to the wrong person.

8. Cookies and Similar Technologies

Strictly necessary cookies are set automatically; analytics cookies (Google Analytics 4) are only used after you grant consent through the cookie banner. You can change or withdraw your consent at any time using the Cookie Settings link in the site footer.

9. Security, Children, and What We Do Not Do

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or alteration. These include HTTPS/TLS encryption in transit, a strict Content Security Policy, access controls on our inboxes and processor accounts, and limiting access to enquiry data to staff who need it.

The website is intended for business users and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has submitted personal data through the site, please contact us using the details in section 11 and we will delete it.

We do not sell personal data; we do not share personal data with third parties for their own marketing purposes; we do not run a newsletter, mailing list, or marketing-follow-up programme; we do not build advertising audiences, retargeting audiences, or lookalike audiences; and we do not use automated decision-making or profiling that produces legal or similarly significant effects.

10. Right to Complain to the ICO

If you are not satisfied with how we handle your personal data, we would like the chance to put it right — please contact us first using the details in section 11. You also have the right to lodge a complaint with the UK supervisory authority, the Information Commissioner’s Office (ICO).
